The Vault

Today most businesses, whether large or small, cannot function without their electronic data. Critical data loss is expensive and can often seriously threaten the continued stability of your business – unless you take steps to prepare for a potential disaster. Protection of critical and compliance data is vital in today’s business environment. Recent studies have shown that there is a 100 percent certainty of losing critical data at least once in a 5-year period.
An essential component of any well-grounded disaster recovery program includes the backing up of data and storing it off-site for immediate recovery if and when a disaster occurs.

Sugar House Archives & Shred can help with these concerns. Our off-site media vault is ideally equipped to handle computer backup tapes, media tapes, surveillance video, vital records, film, source code, and original intellectual property.

Your important data should not be left susceptible to the elements or out in the open. The only safe and secure business practice is to ensure that your vital data is stored professionally.

Media Storage

The long-term storage of archival media requires an environment that preserves data while also protecting that data from theft and disaster. Additionally, organizations have a legal and regulatory obligation to produce data contained on media tapes and hard drives. Unfortunately, magnetic media is extremely sensitive to temperature and humidity changes. As a result, archival media recalled for litigation or auditing purposes may contain corrupted data.

Sugar House Archives & Shred has implemented facilities and systems to ensure the long-term preservation and protection of our clients’ archival data. Our data protection facility is a 4-hour rated media vault specially designed to protect and preserve backup media. Enhanced security systems provide continuous monitoring for our vault. A combination of access control, intrusion alarms, and digital video surveillance systems provide security and peace of mind.

Because the slightest temperature and humidity fluctuations can damage archival media, we provide continuous, around-the-clock environmental monitoring of our vault facilities. Temperature and humidity controls based on ANSI standards ensure the long-term preservation of magnetic and optical media so that, in the event of an emergency restore or audit, you are ensured the integrity and reliability of your data. Racking systems within our vault allow for the slotting of both containerized and individually slotted media while high density storage shelving prevents your media from being exposed to light and dust.

Since traditional water sprinklers can damage archival media, we have installed a Halon fire suppression system specifically designed to protect media. When engaged, this gas-based fire suppression agent does not leave any residue that could compromise your data. It is the highest form of fire protection you can achieve for your archival digital assets.

Sugar House Archives & Shred’s inventory control system allows for the secure tracking of your data within our vault. A secure web interface allows you to manage your archival inventory, sending media off-site and recalling specific volumes. Your archival inventory is available to you 24/7. In the event of a disaster, a Sugar House Archives & Shred professional courier will deliver your archival media to your business or hot site in a secure vehicle.

E-Vaulting

Implementing and managing a regular backup schedule can be a daunting process. If tapes and disc drives left are left on-site, they run the risk of being mismanaged, stolen, or permanently damaged (if not kept in the proper environment). An inadequate backup solution may also put you in violation of regulatory standards.
Sugar House Archives & Shred’s e-vaulting services eliminate the risks associated with backing up data internally. We conduct remote, online backups of data after business hours, at which time the information is automatically sent to our electronic vault. Data is encrypted and secured through a network that has a number of built-in safety and security measures. In the event of a disaster and/or emergency restore, vital data can be rapidly deployed to any business location or hot site within hours.

Our data protection experts will work with you to help identify key data on your office network. The implementation process is managed without the investment of additional hardware. All that is required on your part is a secure online connection. Once key data has been identified we will remotely back up your data online during non-business hours and automatically send it to our electronic vault.

E-vaulting provides a cost-effective, reliable backup solution for the protection and preservation of your critical business data. Our professional data protection consultants will assist you with determining a backup schedule that best fits your business needs.
